Advancement Services Coordinator

Hesston College seeks a dedicated individual to join the advancement team as the Advancement Services Coordinator. This role plays a pivotal part in supporting our vice
president of advancement through a variety of administrative tasks, ensuring seamless operations and confidential support.

Position Summary: The Advancement Services Coordinator is responsible for providing exceptional organizational, technical and administrative support to the vice president of advancement and department staff. This role requires meticulous attention to detail, ability to manage multiple priorities effectively and a commitment to upholding the confidentiality of sensitive information.

Key Responsibilities:

  • Serve as the frontline contact for internal and external inquiries, managing communications, scheduling meetings and maintaining a professional office environment.
  • Provide high-level administrative support to the vice president of advancement, including managing calendars, processing paperwork and maintaining confidential donor files.
  • Assist in the coordination and planning of institutional advancement events, ensuring smooth execution and representation of Hesston College's mission and values.
  • Manage multiple budgets, including expense tracking and reconciliation, to support efficient financial operations within the division.
  • Track annual fund and development officer goal progress and provide necessary reports.
    • Assist with planning and implementation of the annual phonathon.
    • Maintain alumni database.
    • Assist with all alumni and development communication: Hesston College Today alumni magazine, e-news email, partner communication, solicitations, special event invitations, church bulletin announcements, Mennonite Education Agency prayer requests.
  • Act as a liaison between administration, faculty, staff and students, facilitating effective communication and collaboration.

Qualifications:

  • Education: Bachelor’s degree in accounting, business administration or a related field
  • Experience: Minimum of three years of progressive administrative/secretarial experience, preferably in higher education or a related field.
  • Skills: Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), strong organizational abilities and experience with event planning and execution are preferred. Knowledge of Jenzabar or similar database systems is a plus.
  • Preferred Education/Experience: Experience in development/fundraising would be advantageous.
